TERMS AND CONDITIONS.

The nuts and bolts of how it all works…

Zanna Events offers a free, independent, professional venue sourcing and accommodation service.

The terms and conditions from Zanna Events supersede any prior agreement between the Client and the Venue. All contracts are made between the Client and the chosen Hotel/Venue and not with Zanna Events. We act as the agent on your behalf.

It is the Client’s responsibility to ensure that all booking details are correct. Zanna Events accepts no responsibility or liability for any discrepancies discovered after the booking has been confirmed.


ACCOMMODATION BOOKING PROCESS.

Zanna Events can provide single or group accommodation bookings for our clients.

We use the GDS system ‘Tams’, which interfaces with Worldspan to give us access to instant availability.

To confirm a hotel reservation, the Client is required to provide us with credit card details to guarantee the booking. We will only use this credit card to secure the booking unless we are told to use the card for full payment. Please refer to our Privacy Policy for information on how we look after your personal data.

Once the booking is confirmed, a copy of the reservation confirmation will be sent to both the Client and the Hotel.

For group bookings of 10 rooms or more, the Hotel will require the Client to sign a contract. Zanna Events can negotiate the terms and conditions of this contract on behalf of the Client.

Any amendments required to the booking should be made via Zanna Events. An amended confirmation will be issued.

Any cancellations should be made via Zanna Events. Failure to do this may incur cancellation charges from the Hotel. All cancellation times are stated on each individual reservation booking and are quoted in local time for the Hotel.


CONFERENCE BOOKING PROCESS.

On receipt of a brief for a conference booking from the Client, Zanna Events will provide the Client with a detailed proposal highlighting suitable Venues and locations.

Dependent on the Client’s requirements, the brief may contain information on cancellation policies, minimum numbers, location maps of the venues, etc.

At the Client’s request, Zanna Events can arrange for the Client to visit any of the venues included in the proposal, accompanied, where required, by a member of the Zanna Events team.

On receipt of a booking request for the chosen venue, Zanna Events will issue a confirmation letter to the Client and the Venue. The Venue will then prepare a contract for the Client, which will be sent directly to the Client to check and sign.

Any amendments to the conference booking should be made via Zanna Events who will inform the Venue and ensure an updated contract is issued to the Client.

Cancellations should be sent in writing to Zanna Events. Any charges incurred, as set out in the original terms and conditions from the Venue, will be passed onto the Client.


FORCE MAJEURE.

Zanna Events does not accept liability for any damage or expense, where the performance of, or compliance with, our obligations is prevented or affected by reasons of force majeure.

This includes any event which Zanna Events or the supplier of the service could not foresee or avoid, including strikes, industrial disputes, war or threat of war, riots, terrorist activity, fire, adverse weather, closure of airports or ports, technical problems with transport, and all other similar events.
