Zanna Events offers a free, unbiased, professional venue sourcing & accommodation service.
The terms & conditions from Zanna Events supersede any prior agreement between the Client and the Venue.
All contracts are made between the Client and the chosen Hotel/Venue, not with Zanna Events as we act as the agent on your behalf.
It is the Client’s responsibility to ensure that all booking details are correct. Zanna Events accepts no responsibility or liability for any discrepancies discovered to the booking being confirmed.
Accommodation Booking Process
Clients can contact Zanna Events for single or group accommodation.
We have access to the GDS system “TAMS” which currently interfaces with Worldspan, which gives us instant availability.
To confirm a hotel reservation the client must provide us with a credit card to guarantee the booking.
We only use this credit card to secure the booking unless we are told to use the card for full payment. Please refer to our Data Protection Statement which states how our clients rights are protected.
We can then proceed with the booking and a copy of the confirmation reservation will be sent to both client and hotel.
For group bookings of 10 rooms and over, hotels will require a contract signed from the client.
Zanna Events can negotiate the terms & conditions of this contract on an individual basis for the client.
It is the client’s responsibility to check all details are correct on the reservation confirmation and to inform Zanna Events of any errors.
Any amendments are to be made via Zanna Events where the client will be re-issued with an amended confirmation reservation.
Any cancellations are to be made via Zanna Events. Failure to do this may involve hotel cancellation charges. All cancellation times are stated on each individual reservation booking and are quoted in local time for the hotel.
Conference Booking Process
After Zanna Events has received the clients brief, the client will be provided with a detailed proposal of suitable venues. Dependent on the information required we can include cancellation policy’s, minimum numbers, location maps of the venues, etc.
From this proposal if the client requires to site visit any of the venues, Zanna Events can arrange this accompanied by a team member.
Once the client has decided upon the most suitable venue, Zanna Events will compile a confirmation letter which will be sent to client and venue. The venue will then compile a contract which will be sent direct to the client to check and sign.
Any conference amendments are to be made through Zanna Events so the hotels can be informed and re-issue an up-dated contract.
Cancellations should be sent in writing to Zanna Events and any charges set out in the original venue’s terms & conditions will be passed onto the client.
Zanna Events do not accept liability for any damage or expense where the performance of our obligations is prevented or affected by reason of force majeure.
This could be any event which Zanna Events or the supplier of the service could not foresee or avoid including strikes, industrial disputes, war or threat of war, riots, terrorist activity, fire, adverse weather, closure of airports or ports, technical problems with transport and all other similar events.
Zanna Events Limited are committed to protecting and respecting your data. We do not sell, rent or trade email lists with other companies or businesses for marketing purposes. Any personal information we request from you will be safeguarded under current legislation.
Personal and special data provided will only be shared with key partners involved in the organisation of an event. More specifically, delegate data will not be used for any other purpose than as instructed and in connection with your event.
We collect and process your data with your consent, for example, when you tick a box or register your email to receive email newsletters. You can withdraw this consent at any time, for example, by clicking on the unsubscribe link.
When you visit our web site we will collect data that will identify you only when you submit information using the ‘Enquiry Form’.
We will only use this data to contact you with information as requested and then it will be used within the company, by it’s agents and service providers (hotels & venues).
